AI in HR
Using artificial intelligence for HR work: drafting job descriptions and reviews, screening CVs, answering policy questions and spotting patterns humans miss. The governance questions of bias, transparency and human oversight matter as much as the capability, and laws such as the EU AI Act now regulate high risk uses.
In HarmoniHRM: HARMONI AI is the optional add-on across HarmoniHRM, from drafted reviews in Perform to CV screening in Recruit, reading only the modules you allow.
API (application programming interface)
The documented way one system lets another read or change its data. In HR tooling, good APIs are what make “our systems talk to each other” a fact rather than an aspiration on a sales slide.
ATS (Applicant Tracking System)
Software that manages job applications from the moment a role is posted to the moment someone is hired: pipeline stages, interview scheduling, notes and offers. Its classic weakness is being an island, disconnected from the systems that run the rest of employment.
In HarmoniHRM: Recruit is the platform’s ATS, and a hired candidate flows straight into the employee record and the live org chart with no import.
Audit trail
A tamper evident record of who did what, and when, inside a system. For approvals, pay changes and access to sensitive data, it is what turns “trust us” into evidence.
In HarmoniHRM: Flow logs every automatic decision, escalation and approval for review.
E-signature
Signing documents electronically with legal effect, recognised in most jurisdictions under laws such as ESIGN in the US and eIDAS in the EU. In HR it turns offer and contract signing from days of printing and scanning into minutes.
HCM (Human Capital Management)
A broader label than HRIS, usually meaning a suite that covers the core record plus talent processes such as recruiting, performance and learning. Vendors use both terms loosely, so judge products by what they actually do, not the acronym.
HRIS (Human Resource Information System)
The system of record that holds employee data: personal details, job history, pay, documents and status. Everything else in HR technology works only as well as the record underneath it.
In HarmoniHRM: Employee Management is HarmoniHRM’s system of record, with People HQ dashboards, Journeys, Operations and Services on one connected record.
LMS (Learning Management System)
Software that delivers, tracks and reports on training: courses, enrolments, completions and certificates. It is the system of record for learning, and the evidence base when a regulator asks who was trained on what.
In HarmoniHRM: Learn is the platform’s LMS, priced per active learner with unlimited courses and storage.
LXP (Learning Experience Platform)
A learner centred layer that recommends and curates content from many sources, the way a streaming service recommends shows. Where an LMS asks whether they completed it, an LXP asks what they should see next.
Org chart (organogram)
A visual map of who reports to whom and how a company is structured. The distinction that matters is living versus static: a chart generated from live data stays true, while a drawing exported to slides starts ageing the day it is made.
In HarmoniHRM: Organo is a live, interactive org chart, included with every HarmoniHRM module and available standalone, updating the moment something changes, with time travel through past structures.
RBAC (role based access control)
Granting system permissions by role rather than person by person, so an HR admin sees pay data while a line manager sees only their own team. It makes access reviewable, explainable and revocable at scale.
SCORM
A long standing technical standard for packaging e-learning so a course built in one tool runs in any compliant LMS. It is old but everywhere, and it remains the safest export format in corporate learning.
In HarmoniHRM: Learn imports SCORM packages straight into the course catalogue.
SSO (single sign on)
Letting people access many applications with one set of credentials, usually through an identity provider such as Google Workspace or Microsoft Entra. It improves security and the daily experience of logging in at the same time, which few controls manage.
Workflow automation
Software that moves work between people and systems by rules: when this happens, do that, and ask this person to approve. In HR it removes the chasing, the retyping and the “did anyone tell payroll” class of failure.
In HarmoniHRM: Flow routes approvals using the live org structure, auto resolves routine requests within policy and escalates anything that stalls.
xAPI (Tin Can)
A newer learning data standard that records learning experiences wherever they happen, not just inside an LMS, as simple “someone did something” statements. Its companion specification, cmi5, brings that flexibility back into structured LMS courses.
In HarmoniHRM: Learn imports Tin Can and cmi5 packages alongside SCORM.
